Privacy notice for the PANOPTIQ website

This notice covers panoptiq.ai, its request-demo and newsletter forms, website measurement, error reporting and support chat. A customer agreement or a separate product notice can give more information about processing in a PANOPTIQ service.

Information you give us
The request-demo form requires your name, work email, company, phone number and message. We use this information to review and answer your request. We store the submission in Convex and send a copy by SMS through Twilio to alert our team.
The newsletter form requires an email address. We store the address in Convex and send it to Loops, which provides the mailing-list service.
Cloudflare Turnstile processes a security token when you submit either form. If you do not provide the required form information or complete the security check, the form cannot be submitted. You can contact us by email instead.
If you use the Tidio support chat, Tidio processes the message and any contact information you enter. Do not put sensitive personal data in a form or chat unless it is necessary for your request.
Information from your visit
Cloudflare processes request, network and device information, including an IP address, to deliver and protect the website.
We use OpenPanel to measure page views and a small set of website actions. Your browser sends a normalized page route, language, action type and fixed values such as a button location or link destination to our Cloudflare Worker. The Worker uses the request IP address for rate limiting but does not include it in the event sent to OpenPanel. We do not send form values, search text, full URLs, account data, browser timestamps, visitor IDs, profile IDs, device IDs or session IDs to OpenPanel.
Sentry receives technical error reports. We configure Sentry not to collect default personal data or performance traces. An error report can still contain an error message, stack trace, route, software version, environment and browser or server context.
Tidio’s script loads on every website page. Tidio can process browser, device and network information and use browser storage to provide and remember the chat. Our cookie policy gives more information.
Purposes and legal bases
We process personal data for these purposes:
- answer a request and take steps you ask us to take before a contract;
- respond to business enquiries based on our legitimate interest in communicating about our services;
- send the newsletter based on your consent;
- deliver, secure and prevent abuse of the website based on our legitimate interest in operating a safe service;
- measure website use and diagnose failures based on our legitimate interest in maintaining and improving the service; and
- meet a legal duty when applicable law requires processing.
You can withdraw newsletter consent at any time by contacting us. You can object to processing based on legitimate interests. We will then assess the request under applicable law.
Service providers and recipients
We disclose data to these service providers for the purposes described above:
- Convex for storage and form processing;
- Cloudflare for website delivery, security and Turnstile;
- Twilio for the SMS copy of a request-demo submission;
- Loops for newsletter subscriptions;
- Tidio for support chat;
- Sentry for error reporting; and
- OpenPanel for the limited website events described above.
We can also disclose data when the law requires it or when advisers need it to establish or defend a legal claim.
International processing
Some providers or their subprocessors operate in several countries. We are confirming the current processing locations and the transfer safeguards that apply to each account. Contact us for this information before submitting personal data if it affects your decision.
Retention
The application does not currently apply an automatic deletion schedule to contact leads or newsletter records. The providers named above can also retain copies under their account settings and service terms. We are confirming the current periods for each record type.
You can ask us to delete your data. A legal duty or an unresolved claim can require us to keep a specific record for longer.
Your rights
Depending on the processing and applicable law, you can ask for access, correction, deletion, restriction or portability, or object to processing. You can withdraw consent and complain to a data protection authority. Our GDPR rights page explains how to make a request.
Changes
We update this notice when the processing changes. The date above shows the current version.
